AI Invoicing Tools for Freelancers: What You Get and What It Costs
Zoho Invoice, Wave, FreshBooks, Xero and Invoice Ninja for freelancers: free plans, prices and the AI features each vendor lists on its own pages.
In this guide
Getting paid is the best part of freelancing. Chasing the payment is the worst part.
Many invoicing apps now say they use “AI”. But what does that really mean? And do you need to pay for it?
This guide compares five invoicing tools that freelancers often use. We looked only at each company’s official pricing and help pages. We did not run our own tests.
Prices checked on 1 November 2026. All prices are in US dollars, before tax, at the regular price (not a launch discount). Plans and offers change often, so check the official page before you pay.

What each tool costs, and what the “AI” really is
Zoho Invoice
Price: $0. Zoho calls it a “forever-free invoicing solution”.
Limits: Zoho’s FAQ says you can add up to two users, create up to three projects, and send up to 500 invoices per year. Invoices carry “Powered by Zoho Invoice” branding. Zoho also says that if you are inactive for over 180 days, your data will be deleted after a warning, so log in now and then or keep a backup.
What the free app lists: quotes, recurring invoices, automatic payment reminders, expense tracking, time tracking and a customer portal.
AI it lists: Zoho’s help center describes Zia, its built-in AI. Zia can show invoice insights: your overdue balance, customers with a history of late payment, and invoices that are later than your usual. It can also draft email templates, like a payment reminder, from a short prompt. You turn these on in Settings and pick an AI provider and model.
Who it fits: freelancers who send fewer than 500 invoices a year and want to pay nothing.
Wave
Price: the Starter plan is $0. Pro is $19 a month, or $190 a year (billed annually). Wave says the Pro price is per business, not per person.
Limits: Starter lets you create unlimited estimates, invoices, bills and bookkeeping records. You pay a fee when clients pay online by card (Wave lists 2.9% + $0.60 per card transaction on Starter).
What Pro adds: auto-import of bank transactions, auto-merge and categorize of transactions, unlimited receipt capture, and automatic late payment reminders (Wave lists reminders 3, 7 and 14 days after the due date).
AI it lists: Wave’s pricing page does not use the word “AI”. It says receipts are turned into records using Optical Character Recognition (OCR), and that bank transactions are categorized automatically on Pro. That is useful automation. We would not call it an AI assistant.
Who it fits: freelancers who want free invoicing plus simple bookkeeping. Check first that Wave works in your country.
Invoice Ninja
Price: Free forever. Ninja Pro is $14 a month, or $140 a year (about $11.67 a month). Enterprise starts at $18 a month for 1 to 2 users.
Limits: the free plan covers 5 clients with unlimited invoices. It includes recurring invoices, online payments, time tracking and expense tracking. Pro adds unlimited clients, removes the Invoice Ninja branding, and adds automatic late-payment reminders.
AI it lists: none on its pricing page. It does list connections to Zapier, Make and n8n on every plan, and API access on Pro. Some people connect it to AI tools that way, but that is a do-it-yourself job.
Who it fits: freelancers with a few steady clients, or anyone who wants a simple tool without AI built in. Invoice Ninja also offers a 30-day money back promise on paid plans.
FreshBooks
Price (regular): Lite $23 a month, Plus $43 a month, Premium $70 a month. There is also Select, with custom pricing. FreshBooks offers a 30-day free trial with no credit card required, plus a 30-day money back guarantee on purchases.
Limits: Lite lets you bill 5 clients. Plus allows 50 clients. Premium and Select allow unlimited clients. FreshBooks counts both active and archived clients.
AI it lists: FreshBooks offers a connector for Claude (Anthropic’s AI assistant). It is a free add-on and read-only. You can ask Claude things like “Who owes me money right now?” and it answers from your FreshBooks data. It cannot send invoices or change anything. FreshBooks also says your data is never used to train FreshBooks AI models. Its plan table also lists automatic expense receipt data capture.
FreshBooks gives one sensible tip on its own page: use its reports, not the chatbot, for numbers you give your accountant or use for tax.
Who it fits: freelancers who want polished invoices, proposals and time tracking in one place, and who are happy to pay. If you already use Claude, the connector is a nice extra. Compare that cost with our guide to Claude Pro vs ChatGPT Plus.
Xero
Price (regular): Early $27 a month, Growing $59 a month, Established $97 a month. These are US plans.
Limits: Early lets you send quotes and 20 invoices and enter 5 bills. Growing removes those caps.
AI it lists: JAX (“Just Ask Xero”) is a chat assistant inside Xero. Xero says you can ask about your numbers, get help with cash flow, and ask it to create an invoice based on an earlier quote. Xero says JAX is available to all subscribers at no extra charge for now, and that it does not use your data to train the AI models. The pricing page also lists Smart Document Capture on all plans.
Who it fits: freelancers who want full accounting, not just invoicing, or who work closely with an accountant who uses Xero. If you send only a few invoices a month, check whether Early’s 20-invoice limit is enough for you.
Free plans at a glance
If you do not want to pay anything yet:
- Zoho Invoice is free, up to 500 invoices a year, and lists AI insights and email drafts.
- Wave Starter is free with unlimited invoices. Reminders and bank import need Pro.
- Invoice Ninja Free works well if you have 5 clients or fewer.
FreshBooks and Xero have no free plan. FreshBooks has a 30-day trial.
Before you trust AI with money
AI can help you write a polite reminder or find an overdue invoice. But your invoices are legal and tax documents. Keep these rules in mind:
- Check every number. Read the amount, the dates and the client details before you hit send. AI and automation can make mistakes.
- Tax rules differ by country. VAT, sales tax and invoice rules change from place to place. Some countries now require e-invoicing. Make sure your tool supports the rules where you and your client are based.
- Read-only is safer to start. A chatbot that can only read your data cannot send a wrong invoice. Tools that create invoices from a chat message need extra care.
- Watch what you share. Check each company’s privacy terms before you connect client data to an AI tool.
- Keep your own records. Export your invoices now and then. Some free plans delete data after long inactivity.
This is not tax or legal advice. Ask an accountant where you live if you are unsure.
FAQ
What is the best free invoicing tool for freelancers?
It depends on your clients. Zoho Invoice is free up to 500 invoices a year. Wave Starter is free with unlimited invoices. Invoice Ninja Free covers up to 5 clients. (Checked on 1 November 2026.)
Do I need AI in my invoicing tool?
Not really. The core job is sending clear invoices and reminders. The AI features we found mostly help with reminder emails, receipts and questions about your numbers. They are nice extras, not must-haves.
Can I just use ChatGPT to write my invoices?
You can use it to draft a reminder email. But a proper invoicing tool keeps invoice numbers, tax and payment records in order. If you are thinking of paying for ChatGPT, read Is ChatGPT Plus worth $20 a month for freelancers? first.
Are the prices in this guide final?
No. They are US prices before tax, at the regular rate. Launch discounts, local prices and taxes can change what you pay.
Which tool is cheapest if I want to pay?
Of the paid plans we checked, Invoice Ninja Pro is the lowest, at $14 a month or $140 a year. Wave Pro is $19 a month.
The bottom line
All five tools can send a professional invoice. The real differences are the limits and the price.
- Just starting out, with no budget? Start with Zoho Invoice or Wave Starter.
- A few steady clients? Invoice Ninja Free covers up to 5.
- Want proposals, time tracking and a polished look? Try FreshBooks with its 30-day free trial.
