Office work is full of small jobs. Answer the email. Book the meeting. Take the notes. Send the summary. Fix the document. Each one is quick, but together they eat the day.

AI tools can take some of that load. This guide is for secretaries, personal assistants, office managers and anyone who runs the admin side of a business. We compare ten tools across five jobs: email, meeting notes, scheduling, documents and summaries.

We used only each vendor’s official pricing pages and help pages. We did not run our own tests. When we say a tool “lists” a feature, we mean the vendor says so. Prices checked on 1 November 2026. Prices are in US dollars, before tax, per user, at the regular price. Plans change often, so check the official page before you pay.

First, a privacy note

Admin work means handling other people’s information. Client emails, staff details, contracts, invoices.

Before you paste any of that into an AI tool, check your company’s rules. Many employers have an AI policy. Some only allow tools the company has approved and set up. If you are a freelancer, check your client contracts too. If you are not sure, ask your manager or your client first.

Some vendors list protections. Notion says it does not use your data to train its models unless you opt in. Superhuman lists an opt-out from model training on its Free, Pro and Business plans. These are the vendors’ own statements. They are not a promise that a tool fits your company’s rules.

How to pick in two minutes

  1. What does your office already pay for? If it is Microsoft 365 or Google Workspace, the AI inside it may cover most jobs. Start there.
  2. Where do you lose the most time? Email, meetings or the calendar? Pick one tool for that one job.
  3. Who pays and who decides? In many offices, IT buys the tools. Show them this list rather than signing up on your own.

The office suites

Microsoft 365 Copilot (business plans)

Microsoft puts Copilot inside Word, Excel, PowerPoint, Outlook and Teams in its “with Copilot” business plans. Microsoft lists Business Standard with Copilot and Business Premium with Copilot; Premium adds more security tools. We give no price, because the page also shows a discount offer and we could not confirm which prices are regular. Microsoft also says a lighter Copilot Chat is included with eligible business plans, but it does not work inside your files and emails.

The page mentions a discount offer from 1 July to 31 December 2026, so check the final price at sign-up. Good fit if: your office lives in Outlook and Teams. On your own? See Microsoft Copilot for the personal plan.

Google Workspace with Gemini

Google Workspace includes Gemini on every business plan. Business Starter costs $7 a user a month at the regular price and lists Gemini in Gmail. Business Standard costs $14 and adds Gemini in Docs, Sheets, Meet, Drive and Chat, plus appointment booking pages and meeting recordings.

Google shows an intro price of half off for new customers, for 12 months and the first 20 users. There is a 14-day free trial. Good fit if: your office runs on Gmail and Google Docs.

Documents and writing

Notion AI

Notion is a workspace for notes, documents and simple databases. The Free and Plus plans only include a trial of Notion AI. The Notion Agent and AI Meeting Notes are on the Business plan, listed at $20 per member a month. We could not confirm if that is the monthly or yearly rate, so check before you pay.

Good fit if: your team already keeps procedures and notes in Notion.

Grammarly

Grammarly checks spelling, grammar and tone as you type, in many apps. The free plan lists 100 AI prompts a month. Pro lists 2,000 prompts a month, full-sentence rewrites and tone changes. We could not confirm the Pro price and billing period, so we give no number. Grammarly is now part of the Superhuman suite.

Good fit if: you write a lot of emails and letters and want them clean.

Email

Superhuman Mail

Superhuman Mail is an email app for Gmail and Outlook. It lists AI drafts that match your voice, auto labels, auto summaries, reminders and calendar tools. Mail is in the Business plan, at $40 a member a month billed monthly, or $33 billed yearly. The cheaper Free and Pro plans include Grammarly and Docs, but not Mail.

Good fit if: you handle a very busy inbox, like an executive assistant.

Meeting notes

For a full side-by-side, read Otter vs Fireflies vs Fathom. Here are the basics.

Otter

Otter records and transcribes meetings. The free Basic plan lists 300 minutes a month, up to 30 minutes per conversation. Pro costs $16.99 a month billed monthly, or $8.33 a month billed yearly. Good fit if: you take short calls or upload recordings.

Fireflies

Fireflies joins your calls and writes notes. It lists unlimited free transcripts when Auto-join is turned on. Pro costs $18 a month billed monthly, or $10 a month billed yearly. Good fit if: you upload recordings or work in many languages.

Fathom

Fathom lists unlimited free call transcription. The free plan includes advanced summaries for 5 calls a month. Premium costs $20 a month billed monthly, or $16 billed yearly. Good fit if: you want free notes for lots of calls.

Always tell people you are recording. In many places it is required. Check your company’s rules and local law.

Calendar and scheduling

Reclaim

Reclaim plans your week on your calendar. It lists AI “agents” that protect focus time, habits, buffer time and meetings. The Lite plan is free forever. Starter is $12 per seat a month billed monthly, or $10 a month billed yearly. Business is $18 billed monthly, or $15 billed yearly.

Good fit if: you manage a busy calendar and keep losing time for real work.

Motion

Motion combines tasks, projects and calendar, and lists an AI task planner and AI meeting tools. It offers a free trial, but we found no free plan. The pricing page lists Pro AI and Business AI plans, but it did not clearly show the billing period, so we give no number.

Good fit if: you want one place for tasks and the calendar together.

Want to automate the boring bits?

Tools like Zapier connect your apps. For example, they can save email attachments to a folder or add new form replies to a spreadsheet. We cover these in the best AI automation tools. For invoices, see AI invoicing tools.

FAQ

Which tool is best for a secretary?

There is no single best. Most secretaries already work inside Microsoft 365 or Google Workspace. Start with the AI there, then add a meeting-notes tool if you take a lot of minutes.

Can AI write my emails for me?

Copilot, Gemini, Grammarly and Superhuman all list AI drafting for emails. Always read the draft before you send it. AI can get names, dates and facts wrong.

Is it safe to use AI with client or staff data?

It depends on the tool, how your company set it up and your company’s rules. Check your workplace AI policy first. When in doubt, don’t paste personal or confidential data.

Which tools are free?

Notion, Grammarly, Otter, Fireflies, Fathom and Reclaim all list a free plan, with limits. Notion’s free plan only has a trial of its AI. Microsoft 365, Google Workspace, Superhuman Mail and Motion are paid, with trials.

Did you test these tools?

No. We compared what each vendor lists on its official pages on 1 November 2026.

Which one should you pick?

  • Office on Microsoft 365: a Microsoft 365 plan with Copilot. Ask IT first.
  • Office on Gmail and Google Docs: Google Workspace Business Standard, which adds Gemini in Docs and Meet.
  • Executive assistants with a huge inbox: Superhuman Mail.
  • Anyone who takes minutes: Fathom or Fireflies on a free plan, or Otter for short calls.
  • Busy calendars: Reclaim, starting on the free Lite plan.
  • Team procedures and notes: Notion, if your team already uses it.
  • Polished letters and emails: Grammarly. Start free.
  • Tight budget: free plans first, plus the AI already in your office suite.
